Qualifications
- 2+ years of dental front office experience is highly preferred
- Familiarity with Dentrix is a plus
Responsibilities
- Appointments and Daily Schedule
- Assist ACI in keeping the schedule full for hygienists and dentists using Perfect Day Scheduling
- Schedule referral appointments to specialists if possible
- Maximize each provider’s time by managing the production schedule (doctor & hygiene)
- Meet or exceed the daily goals set for each of the providers (doctor & hygiene)
- Set the next appointment before each patient leaves; each patient should be pre-appointed prior to leaving the practice
- Financial Responsibilities
- Collect payment for services rendered before the patient leaves the practice
- Close out the day and run reconciliation reports
- Payment types are appropriately used, properly entered, and reconciled
- Payments prepared with a deposit slip for deposit the next day
- Credit card batch reconciled the following morning; a copy is made for bookkeeping
- Daysheet, Dentrix deposit slip, EOBs, and credit card slips combined and filed
- Insurance
- Understand the missing tooth clause and other insurance terminology
- Send e-claims for all claims not requiring necessary attachments
- Utilize unsent insurance and procedures not attached to insurance reports to ensure that all claims have been attached each day
- Review unscheduled appointments
- Administrative responsibilities
- Check insurance benefits, update Family Files as needed, and provide treatment plan estimates on the treatment diagnosed
- Help to train new front office team members, answer questions as needed
- Answer phones promptly (Appointment Coordinator I is the first person responsible for answering the phone, then Appointment Coordinator II if ACI is on the phone or checking in a patient)
- Check voicemail and return patients' calls if ACI is not available
- Manage Family Files
- Separating files in case of divorce, death, change in custody, etc
- Phone skills
- Take messages appropriately and accurately
- Communicate clearly over the phone with patients and make appointments appropriately
- Answer questions
- Handle difficult patients well
- Comply with HIPAA
- Screen calls from vendors
- Call cooperating dentists to arrange coverage when the doctors are out of town
- In order of preference: Dr. Dana Weinreich, Dr. Kevin Rauter
- Review incoming correspondence from email and update the patient’s chart, document center, and radiographs if applicable
- Once correspondence is successfully updated in the patient’s file, send an email to Unfiled documents by using the “Send to Dentrix Document” printer
- Referrals
- Email radiographs/referrals to appropriate offices
- Any other task as assigned
